AggieService Forms Include New Cubicle Field

On Monday, Nov. 8, AggieService forms will include a new required field.

A cubicle field is being added to AggieService forms for:

Davis Campus Users
  • Recruitments
  • Onboarding Only
  • Additional Employment
  • Reclassification*/Position Updates*
  • Job changes*
UC Davis Health Users
  • Onboarding Only
  • Additional Employment
  • Job changes*

*Only required if submitter indicates the location is changing.

The cubicle field is being added to comply with Assembly Bill 119 (more info below), which requires the university to track specific primary work location data for all represented employees.

What to Expect (Examples)
  • Davis Campus Users
  • For licensed AggieService users who login and submit HR/Payroll cases:

    1.  For ALL Recruitments, Onboarding Only, Additional Employment – it will now require both Location / Building (previously was optional) AND Cubicle (NEW field).

    2.  For ALL Reclassifications, Position Updates, Job Changes (New End Date, Other) – it will now ask submitter: “Is Location Changing?” (NEW) . If Yes, the form will require both Location / Building AND Cubicle to be filled out. If no, the form will not ask for Building and Cubicle.

  • UC Davis Health Users

Important Notes:
  • You DO NOT need to edit any AggieService requests submitted before Nov. 8.
  • There will soon be a broad outreach and communications effort to collect specific primary work locations for represented employees for whom we DO NOT have data.

Resources

We understand that every workspace isn’t labeled and some employees don’t have a designated location, so we’ve provided a job aid with potential naming conventions to assist your efforts.

  • Download AB119 Job Aid, which will be hyperlinked alongside the cubicle field in AggieService forms.
  • If you need additional locations added, you can submit a Location Request: To request a new location be added to UCPath the "Location Request" form needs to be completed https://ucpath.ucdavis.edu/forms.

About Assembly Bill No. 119

AB 119 requires the University to provide the following information in our records to unions about the employees they represent:

  • Name
  • Job title
  • Department
  • Work location and address
  • Work phone number
  • Home address and phone numbers*
  • Personal cellular telephone numbers*
  • Personal email addresses*

This information is to be provided within 30 days of a new hire, and then at least every 120 days.

*Employees can opt out of disclosing this data with their union via the UCPath portal.
