Job Builder: Creation, Classification, Storage of Staff Job Descriptions

Job Builder is UC Davis' new software solution for managing job descriptions, classifications and compensation actions, and viewing job standards.

  • Initiating employee and supervisor job description acknowledgement
 
Benefits include:

The new job description tool will bring consistency between UC Davis and the rest of the UC, and provide UC Davis immediate access to updated job standards, which are all maintained by UC Office of the President (UCOP)​. 
 

For Supervisors and Managers

  • Provides direct access to job descriptions for direct/indirect reports 
  • Offers a library of job descriptions to help promote consistency and standardization that can help speed up hiring​​.  
  • Handles routing and approval signatures (including employee acknowledgement) within the tool.   
  • Gives hiring managers the ability to preview the job posting when working on a recruitment action.

The training introduces learners to their unique user dashboard, the JD catalog and the overall workflow process. Step-by-step instruction to initiating a new recruitment as well as taking action on a current job description is discussed.

      Compensation Management in Job Builder: Health

      Compensation Management in Job Builder: Health targets Job Builder users within the compensation department at UC Davis Health. This training begins with introduction to the critical nodes relevant to comp users and how to navigate between entities. Detailed training is then provided on navigating, review and approving a standard workflow as well as using the compensation specific workflow. Finally, training covers the JD acknowledgement, locating historical data and managing standardized templates. This course contains recordings of the live training sessions. Upon completion of this course, compensation users will be able to perform required tasks within Job Builder.

Job Builder Go Live on Davis Campus Sept. 24

  • Ignore All Job Builder Emails Through Sept. 24 at 5 p.m.

    • For Supervisors: Job Builder is sending an email to the supervisor when their employee’s job description is loaded in Job Builder. Supervisors should ignore and delete these emails, as clicking any links may trigger an email to the employee.

      • Take Note: As early as the evening of Sept. 16, supervisors of campus staff hired since late July to present, will receive a Job Builder email. For awareness, HR will notify supervisors directly that these auto-generated emails can be ignored.
    • For Employees: Compensation Services is processing some actions manually in Job Builder, which may trigger email notifications to employees. Employees are not required to take any action on any Job Builder email, but doing so won’t affect anything.
  • Top Tips
    • Job Builder’s Department Library can help managers, L2 initiators and L3 approvers find: Job Descriptions within their department, specific employee data, historical actions and org charts! Check out the job aid Using the Department Library (pdf) for more detail.

    • While the overall process of submitting Job Description action requests remains the same, the details and requirements you need to submit will change. Freeze Dates in PeopleAdmin
These cut-off dates may impact your work, but are necessary to successfully migrate data from PeopleAdmin to Job Builder. 

Sept. 9 at 5 p.m.: Soft Freeze in PA begins 
The following actions are no longer accepted in PA and will need to be resubmitted in Job Builder after Go Live:

  • The Job Builder (JB) system, our new job description software, launched 6/4/24 for UC Davis Health, School of Medicine and School of Nursing.

    An aspect of the new system is Job Description Acknowledgement (JDA), which replaces physically signing a job description with digitally acknowledging. 

    This is initiated by an email notification to the supervisor, then, following supervisor acknowledgement, an email to the employee to complete. 

    Emails from this address and the link contained within are safe.

    Between 6/20/24-6/21/24 a large number of unintended JDA emails were triggered and sent. These emails (from 6/20/24-6/21/24) can be ignored, no action is required. 

    These JDA instances have been deleted from the system and the team has fixed the email trigger. 

    Any emails received to acknowledge a job description on or after 6/22/24 are legitimate. 

    Between 6/22/24-6/25/24, these emails displayed “Admin10@UCRegents.org” as the sending email address. These are legitimate.  

    These emails now come from “No reply email on behalf of JobBuilderAdmin@ucdavis.edu”. 

    Messaging was sent to targeted Job Builder users 6/21/24 regarding the issue, however, please share this communication as appropriate.
