UC Davis Health Records

SSO manages the security and preservation of a comprehensive system of electronic employment data and official personnel records for UC Davis Health staff, senior management, and undergraduate student employees. (Complete employment cycle, from hire through termination).

Records services include:

  • Serve as a resource to managers and staff regarding policies and procedures; performs analysis and provides technical support for the Electronic Human Resources (eHR) system and Payroll Personnel System (PPS); monitors, analyzes, validates and implements all pay-related transactions
  • Manage, audit and maintain employees’ qualifying months of service (QMS) and the Service Award Program
  • Audit/Test the implementation of mass data changes in eHR for UC Davis Health staff and undergraduate employees; provides custom eHR reports; administers eHR security; creates in-person and web-based training; troubleshoots issues in eHR and PPS; prepares communications related to eHR and HR business processes; and provides eHR liaison between the health system and campus
  • Provides eHR support; implements new functionality in eHR; maintains eHR infrastructure; and monitors eHR data integrity
  • Implement Leave of Absence requests from LOA Services. Coordinate and verify Leave of Absences requests from School of Medicine by providing instruction and assistance.
  • Detailed requests from employees and administrators include:
    • Vacation accruals, leave accruals
    • Transferring leave balance service credit, sick leave balance to/from state employee
    • Transferring without a break in service to another UC Campus
    • Reinstatement of sick leave
    • Copy of job description
    • Personnel file review
    • Service Awards
    • Name or address changes
    • Tax withholding status changes
    • Access to eHR and Employee Self Service
    • Processing cost center, location, funding, or FTE changes, in PeopleSoft and PPS systems
    • Requesting eHR reports on UC Davis Health employees
    • Update/recertification/reverification of Visa or citizenship extensions for employees.
    • Scanning to on-base
    • Licensing verification
    • Auditor requests (Joint Commission Surveyors etc.)
    • Labor Relation audits for Layoffs
    • Process and log all returned department files for archives
    • Update Holiday and Qualifying months of service calendar
    • Subpoena requests from HIM
    • File review from employees and Supervisors/Managers
