Before starting your first day at UC Davis, a Shared Services Organization HR Coordinator will help guide you through important pre-employment requirements and documentation prior to you working in the position.

 New Hire Onboarding

 Starting Your First Day

  • Day one activities vary from department to department.
  • In general, after onboarding is completed, you will work with your direct supervisor (hiring manager) to determine time and place to report for work. 
  • Your department will provide any necessary information and training related to processes, procedures and safety requirements.

*Any substitute for the W-4 form must be deemed acceptable by the Attorney General’s Office before work may begin.

For International Students
  • Any international student in F-1 or J-1 visa status may work on campus up to 19 hours per week while school is in session, as long as she/he is enrolled full-time (10 credits for undergraduates, 8 credits for graduates). 
    • A student may work up to full time during break periods if she/he intends to register the following quarter.

Timesheets (TRS)
  • After the onboarding appointment, students should receive access to their timesheet (TRS) within a couple of business days. To access the TRS, students can visit: trs.ucdavis.edu/trs/
  • Students should submit timesheets biweekly or monthly depending on the pay schedule. A reminder will be sent to the students to submit their timesheet to their supervisor on the day that it is due. Please note a failure to submit a timesheet before the established deadline may result in delayed or missing pay.

 

UC Path
  • Students should also receive access to their UCPath account within a week, but this can change based on volume. To access the UCPath account, students can visit: ucpath.universityofcalifornia.edu. Students should log into their UCPath account using their Kerberos login credentials.
Direct Deposit
  • Students can sign up for direct deposit through their UCPath account. Students must have a United States bank account and the routing number and account number associated with that account. Please note for direct deposit these funds are earned while employed through UC Davis and not associated with the “MyBill account” or Financial Aid.
  • To sign up for direct deposit, students will need to log into UCPath. Once logged in, use the menu options on the left side of the dashboard to navigate to ‘Employee Actions,’ then ‘Income and Taxes,’ then select ‘Direct Deposit.’ Once the student is on the Direct Deposit page, they will need to click on the “Add Account” button. 
  • Students can add/update their Direct Deposit only once per day. Please note that Direct Deposit takes 1-2 pay cycles to go into effect. Until the Direct Deposit is in effect, students will receive paper checks mailed to their home address on file in UCPath via the U.S. Postal Service from our distributor in Arizona. Paper checks are mailed to the home address on payday. It is highly encouraged to make sure this information is accurate and up-to-date. Failure to do so can result in a delay in pay.
