Professional License and Certification Monitoring

UC Davis Health monitors professional licenses and certifications to help ensure employees remain qualified to perform the responsibilities of their positions and to support regulatory compliance and patient safety.

To support timely renewals, employees receive automated reminders before their license or certification expires. Beginning July 1, 2026, supervisors and managers also receive separate notifications to help ensure licenses remain current and employees continue to meet position requirements.

Employee Notifications

Employees receive renewal reminders through the EverCheck license verification system 60, 30, 15, 10 and 7 days before their license or certification expires. 

Employees are responsible for renewing their license or certification and ensuring renewal information is available through EverCheck before the expiration date.

Supervisor Notifications

Supervisors receive separate notifications from the Health Shared Services Organization when a direct report's professional license or certification is approaching expiration.

Each notification includes a spreadsheet identifying the employee(s), license or certification and expiration date.

60-, 30- and 15-day reminders

These notifications provide an opportunity to follow up with employees and ensure their license or certification will be renewed before expiration.

10- and 7-day reminders

If a license or certification has not been renewed and updated in EverCheck, supervisors must take one of the following actions:

  • Submit an AggieService case, use “Ask A Question” and submit the employee's updated license or certification, or
  • Submit an AggieService case, use “Ask A Question” and indicate that Employee and Labor Relations (ELR) will need to initiate a leave without pay action following license expiration.
